Principal Responsibilities of the Classification:

Performs many of the following responsibilities in support of the Senior Program Director (SPD) and departmental operations:

A. Executive and Administrative Support

  • Provides principal secretarial and administrative support in the office of the Senior Program Director and, as needed, to subordinate staff.
  • Maintains a close and highly responsive relationship to the day-to-day activities of the SPD.
  • Manages and updates the SPD’s calendar, ensuring seamless coordination of meetings and appointments.
  • Prepares and schedules internal and external meetings as requested by the SPD, including the preparation and distribution of materials for Weekly Staff Meetings.
  • Handles routine administrative tasks such as typing, mailing, filing, and ordering supplies for the department.
  • Prepares various documents in alignment with established policies and procedures.
  • Reviews outgoing materials and correspondence for internal consistency and conformance with procedures.

B. Communication and Visitor Management

  • Provides frontline reception duties including greeting and directing visitors, routing calls, and addressing inquiries not requiring the SPD’s attention.
  • Facilitates effective communication between departments, including coordination with the 89th and 316th, ensuring operational consistency and collaboration.

C. Document and Record Management

  • Maintains and organizes essential documents, ensuring efficient access and operational support.
  • Manages and updates Appointment Letters and processes Access Request Forms to ensure accurate and timely records.
  • Regularly checks Aircraft Feedback forms and compiles daily and monthly reports for leadership review.

D. Meeting and Event Coordination

  • Oversees conference room scheduling and preparation for meetings and events.
  • Coordinates the nomination process and logistics for recognition programs including Quarterly, Annual, and Golden Bolt Awards for the 89th and Amentum.

E. Program and Policy Administration

  • Monitors and reviews Contract Surveillance Reports to ensure they align with customer expectations.
  • Administers the random drug testing program, ensuring month-to-month compliance and accuracy.
  • Processes requisitions and received shipments through AMRO for company purchasing.

F. Travel and Expense Management

  • Assists department personnel with travel arrangements including lodging, airfare, and rental cars.
  • Prepares and submits expense reports with accuracy and timeliness.

G. Employee Relations Support

  • Provides support in managing grievances and conflict resolution, contributing to a positive and productive work environment.

H. Other Duties

  • Performs other administrative and support duties as assigned to ensure smooth and efficient department operations.

Requirements:

Education:

High School diploma or equivalent

Experience:

Six (6) years of experience in a related field. Preferable as a Secretary.

Special Knowledge/Skills Required:

-Ability to interact professionally with all levels of employees and customers.

-Ability to work independently with good decision-making skills.

-Knowledge of various computer applications (ex: Word, Excel, PowerPoint, Access, etc.).

-Excellent communication and people skills.
