Job Summary:
The Office Supervisor is responsible for overseeing daily office operations, supporting accounting functions, addressing and resolving issues related to office operations, assisting with customer service, managing staff, and ensuring administrative efficiency. Key responsibilities involve implementing office policies and procedures, managing budgets, coordinating tasks, and maintain records of sales. Duties involve but are not limited to:
- Enter expenses by receiving, processing, verifying, and reconciling invoices with PO’s and verifies receipt of purchases & repairs in accounting and other software.
- Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
- Reconciles processed work by verifying entries and comparing system reports to balances.
- Verifies vendor accounts have up to date Fed ID’s in accounting software.
- Verifies vendor accounts for accuracy.
- Maintains historical records by scanning documents into accounting software.
- Protects organization’s value by keeping information confidential.
- Updates job knowledge by participating in educational opportunities.
- Resolves valid, invalid, or unauthorized deductions by following up with customers and providing details to show the error or issuing credit memo with approval.
- Resolves AR collections by examining customer payment plans, payment history, and credit lines.
- Oversee daily office operations and ensure that office processes run smoothly.
- Manage office supplies inventory and place orders as needed.
- Coordinate maintenance and repairs of office equipment.
- Develop and maintain a filing system.
- Handle office-related inquiries and provide general support to visitors.
- Plan in-house activities such as meetings and lunches.
- Ensure office safety and compliance with health and safety regulations.
- Implement and maintain office procedures and policies.
- Support HR in onboarding and offboarding employees.
- Addressing and resolving issues related to office operations.
Requirements
Education & Skills:
- Must possess a valid unrestricted driver’s license
- Must have a High School diploma or GED
- Advanced understanding of accounting principles in relation to AR area
- Customer service background
- Proficiency Microsoft 365 skills, computer software & internet proficiency
- Prior NetSuite or other accounting software experience
- Strong written and oral communication skills to effectively communicate with customers and management
- Capability to work independently with strong attention to detail
- Ability to work on a fast pace environment
- Ability to organize and prioritize a variety of tasks
